James Valley Telecommunications
Groton, South Dakota, United States

James Valley Telecommunications provides a wide variety of products and services for more than 10,000 business and residential customers in northeastern South Dakota. Incorporated in 1951 and based in Groton, South Dakota, James Valley Telecommunications serves more than 10,000 customers. What began as simply a telephone company has grown into a comprehensive telecommunications provider of traditional landline, cell phone, video and Internet services.
As one can imagine, with so many customers, products and services, a document nightmare emerged and was growing. “Yes, the paperwork just multiplies - our customer files, as well as our corporate records, just kept multiplying at a steady pace,” said Nancy Larsen, Operations Manager for James Valley.
James Valley Telecommunications believed the remedy to their problem was to find a digital document managing solution. They found their answer with Active Data Systems and a ScanFile® document management system. Said Larsen, “We were absolutely running out of room and it just made no sense to continue that way. We had to become more efficient and effective.”
One of the reasons James Valley chose ScanFile® was because it’s powerful yet user-friendly document management system with extensive range-of-options to handle the most complex of file management tasks. The basic concept of ScanFile® is to deliver secure efficiency. It provides the user with their documents, in their entirety, as a virtual archive.
James Valley serves customers in approximately a 2,500 square mile area with offices in multiple locations. “The locations of our offices found us with a daily courier to get this paperwork back and forth. With the ScanFile® system we have it all available at the touch of your finger. We can very easily share documents with many employees at one time,” said Larsen.
Active Data Systems helped James Valley by writing a template that could import directly and automatically from their existing customer care system. Said Larsen, “It is auto indexed for us so we do our whole month's worth of orders in less than ten minutes.”
With ScanFile®, your needs never have to be overly specified; only those options that meet explicit needs are added to the core application, which can be extended at any time.
The essential purpose of ScanFile® is to organize and manage current documentation so as to enable efficient and cost effective work processes. Nancy Larsen added, “The results have been better customer service, higher productivity, less running around trying to find documents.
Active Data Systems is committed to helping organizations identify their records and information needs, decrease their organization's administrative costs and bridge the gap between their existing and future systems. “Once the decision was made, Active Data Systems was right on schedule with the delivery of the products and support is just phenomenal,” said Larsen.
